OFIS Notes from 20 Oct, 2010

Past CS tasks

  • Daniel: Research Book work: data cleanup.

Today

  • Marlon: Eng. Research Reports engineering tool update: added adjunct profs to query. Good.
  • Beth: Dean's meeting: "wayne has missing grad students, other data wrong." - she and Marlon will be looking manually at his profile; not happy that there may be more errors.

Beth's faculty appointments demo:

  • three types of forms: fulltime, non-faculty, part-time appointments. used to be: they had an Access db for full-time appointments, in dean's office, only can be used one person at a time; fields were overloaded, included SIN numbers. 1st plan: clean up data; 2nd plan electronic, so shared. sharepoint 2010.
  • people fill in forms; sent electronically to dean's office for validation (and paper forms as well, in parallel). Two approval steps: 1) data clean/proper; 2) to Pending list, until person accepts/declines official offer.
  • once approved, they get Employee id; then data goes into other forms (actually sharepoint Lists): basic data (bio), appointment history, educational history).
  • non-faculty/part-time: not tracked as rigorously: haven't been finalized yet.
  • workflow processed by dean's office person.
  • currently HR doesn't add empid; eng needs to call HR right now.
  • has awards data and leave history from dean's office.
  • forms created by infopath 2010, sharepoint designer. works in firefox 3+.
  • people only have access to rows they created; so individuals' SIN are safer.(typically one per department)

Vu/Marlon/Olga: further discussion of Research data.

Future Tasks

  • Daniel: research book stuff, ct'd.
