New Faculty Onboarding
Here we list the many tasks that have to happen when new faculty are hired
This can be modelled on the
NewCscfEmployeeGuide, with specific items for faculty.
CSCF tasks

- create WatIam account (or ensure it has been created)
- provide information about new O365 account and how to access: https://uwaterloo.ca/microsoft-365/about/accessing-your-microsoft-365-account
- request access to OGSAS (from Grad Office)
- create subscription code / assign Point of Contact
- contact regarding equipment
- create CS core accounts
- provide information email about how to access CS core services
- meet to introduce PoC
- meet to discuss Research Support model
- Send stanza from Librarian
- Discuss Alliance/ComputeCanada/SHARCNET account: https://ccdb.alliancecan.ca/account_application
- Get added to Quest: email d2shantz@uwaterloo.ca (Grad Office manager to request)
Creating accounts
- Contact user if they have a preferred userid that is available and valid in WatIAm. Obtain non-UW email for account claim/password recovery
- Create an account in WatIam
- the standard format is [first initial][full lastname] - that may create a longer than 8-character userid, the 8 character version is what gets used
- an alternate format is [first initial][second initial][full last name] or [first inital][incremental number][last name]
- other variations will need to be approved by IST, eg: [first name] or [last name]
- make sure to click "Advanced Employee Create"
- redirect to existing email address if known
- set a random password
- send a Welcome email, eg:
Hi Professor [Lastname],
We have created a UW user account for you. Your userid is [userid]
The following email addresses will work, so you can choose which you prefer to advertise:
[userid]@uwaterloo.ca
For now, I have redirected your email to [their current email address] (which is where you should be reading this )
I will send you a random password separately. You will be able to login to our identity manager and change your password:

When you get on campus, you will connect to our “Eduroam” wireless service. You need to login as: [userid]@uwaterloo.ca and use the password I send you or the password you’ve changed it to.
If you will require equipment for when you arrive (when is that expected?) please let us know and we can start looking into that for you.
If you receive this successfully, then your new UW email address is working properly.
You can visit the CSCF Help Desk in Davis Centre 2608 and speak to [Help Desk person's name], who can help set your password. [PoC full name] (cc’ed here) is your official Point of Contact for any computer issues. He is in DC 26##. You can also speak to the Help Desk or me, in DC 2607.
I would also be happy to arrange a time to meet and discuss our Research Computing Support and how that works here. Let me know when you’re settled and perhaps we can arrange a time to meet to discuss that and meet [PoC name]..
