Emergency Contact Posters

We have designed a poster to be put into research labs with information about who to contact in various emergencies (fire, police, flooding, etc.) as well as regular computing support.

Updating the poster

The poster is created as a Microsoft Word document with Mail Merge fields, that bring in the fields from the Research Lab spreadsheet (below). By default it is setup to assume that you have mapped \\smb-files.cs.uwaterloo.ca\edocs as X: (in Windows)

The document is available under eDocs either via SMB:

  • X:\admin\EmergencyContactsPoster or \\smb-files.cs.uwaterloo.ca\edocs\admin\EmergencyContactsPoster

or via the web:

Research Lab spreadsheet

The spreadsheet has two worksheets - one for the list of Labs and PoCs ("Labs"). The other contains the contact information for various PoCs ("Contacts")

The spreadsheet is available under eDocs either via SMB:

  • X:\admin\EmergencyContactsPoster or \\smb-files.cs.uwaterloo.ca\edocs\admin\EmergencyContactsPoster

or via the web:

Generating the posters

  1. Make any necessary changes to the list of labs in the spreadsheet.
  2. Then open the Word document - you will need to set the data source to the spreadsheet (navigate to X:\admin\EmergencyContactsPoster and select Emergency Contacts.xls )
    • When it asks for which table to use, select "Labs"
  3. Then use the Mail Merge feature to generate the full set of posters:
    • Mailings -> Finish & Merge -> Edit Individual Documents
  4. You can either print them directly or save them as a PDF, eg:
